Monitor and Control messages going/coming from competitors
SecurExchange's Intelligent Content Analysis can inspect messages and their attachments in real-time for the presence of information concepts (content) as well as other message attributes such as the receiving or originating domains. Once triggered by a policy item, the message in question can be acted upon by any number of Smart Action Triggers such as Quarantine, Copy, Reroute, Archive, or other means. Message triggers and their resulting actions can be further defined (or restricted) by the local Exchange distribution list or AD security group that the sender or recipient is a member of.
SecurExchange's "After the Fact" scanning compliments the real-time aspects of SecurExchange and allows administrators to scan for existing information concepts and templates that may already exist in user mailboxes. A HowTo on initiating a background mailbox scans can be found here.
In this How To we will take you through the steps of defining a Policy Item to monitor and copy all correspondence to and from a list of competitors, placing the message in a public folder called "Competitor Review Folder".
Create the Smart Action Trigger (Copy Message):
If the Smart Action Trigger (SAT) that you wish to invoke on every message matching the policy item is not currently defined, then one will need to be created
On the Message Actions configuration tab, select Content and Spam Actions
Click Add
In the Name Field, enter a name for this Action, say "Copy to Competitor Review Folder"
In the Message Auxiliary area, enable the "Send Copy to" action, and hit the Copies button
Select the appropriate Address List type. For this example, select "Public Folders"
Select the Competitor Review Folder and then the Add button.
Hit Ok to save the Send Copy recipients
Hit Ok to save the Smart Action Trigger
Create the Competitor Policy Template:
A Concept Template is a definition of particular message, attachment, or general attributes that can be used in any Policy Item. A template is a good way to define a particular group of attributes that will be shared amongst multiple Policy Items. Taking this approach saves valuable time in tailoring Policy Items as Template changes are immediately reflected to all Policy Items as the change is made. Think of Templates as AD Groups, SQL stored procedures, or even macros that can be applied to various Policy Items.
On the Policy / Concept Builder configuration tab:
Click the "Create a Template" toolbar button
Enter "Competitors" for the name of the template
Hit Ok to save the Template.
Making sure the Competitor Template is selected, Click the "Insert Template" and select "Any Message"
Double click the Any Message item
Select the Restrictions tab
Double click the Recipients Include entry
In the Display Type area, select "External Domain/User"
For each competitor's domain
enter the domain name (ie @competitor.com) and hit Add to move that domain to the Include list
Hit Ok to save the Recipient Include list
Hit Ok to save the Template Restriction
Hit Ok to save the Template
Create the Competitor Policy Item:
Policy Items combine the Concept Template (what to look for), Message Action (what to do with a message), with message attributes such as Direction/Scope to create the real-time rule that will inspect messages.
On the Policy / Concept Builder configuration tab:
Click the "Create a Policy Item" toolbar button
Enter "Competitors Review " for the name of the Policy Item
Set the Policy Item as Active
Set the Action to be Invoked as "Copy to Competitor Review Folder"
Set the Direction/Scope to be Outbound
Set the Applies To Message Text
Hit Ok to save the Policy Item.
Making sure the Competitors Review Policy Item is selected, select the "Insert Template" toolbar button and select the Competitors template
At this point the Policy Item has been created and ready to be saved. Hitting Ok on the SecurExchange configuration will save the updated policy.
Updates to the Competitor Template:
When additional domains have been identified as competitors they may be added to the Competitors template. As new domains are added to the Competitors Template, existing Policy Items utilizing the Competitors template will be automatically updated.
